Monitoring & Revalidation — Privacy, consent and secure handling
Practical guidance for applicants, institutions and decision-makers who need a clear, evidence-based verification process.
Monitoring & Revalidation concerns status changes, expiry, rechecks, monitoring and current-standing updates. Verification should describe what evidence was checked, what source supported the conclusion, what limitations remain and the date or context to which the result applies. A verification result is evidence for a decision-maker; it does not replace the legal authority, admissions office, employer, regulator, licensing board, ministry or other receiving institution that makes the final decision.
Use data for the defined purpose
Personal or institutional data should be handled for the verification purpose described to the requester and subject. Collecting unrelated data increases risk without improving the verification.
Use secure channels
Do not send payment-card data, passwords or unnecessary identity information in ordinary messages. Use designated secure forms or controlled document channels for sensitive records.
Respect disclosure limits
A verification report should not disclose private source material beyond what is necessary to support the conclusion. Receiving institutions may need a result, not the entire underlying file.
Evidence and decision boundaries
EIFVS can document what was checked and what the available evidence supports. It cannot bind an external university, employer, regulator, ministry, court, licensing authority or other institution. If a specific destination requires a particular legalisation, apostille, equivalence assessment, translation, licensing step or direct institutional transmission, confirm that requirement with the receiving body.

- What exact claim needs verification?
- Which primary or authoritative source can support it?
- Is the result time-sensitive or dependent on current standing?
- Does the receiving institution require a particular format or verification channel?
- Are there privacy or consent restrictions on the source data?
